How to organise football matches without WhatsApp chaos
You do not have to stop chatting on WhatsApp to make football easier to organise. Move the match plan and availability into one shared record, then use chat for conversation and urgent changes.
Identify what gets lost in the conversation
A typical thread mixes jokes, transport plans, late replies and changes of mind. The organiser then has to reconstruct a squad from messages. The problem is not conversation itself: it is using conversation as the only record of who is playing.
Before changing tools, name the recurring failure. Is it an unclear headcount, an old venue message, late withdrawals or conflicting team lists? Pick a tool and a routine that solve that specific problem.
Move one game first
Start with the next match instead of asking everyone to learn a complicated new system. Create a Futix group, invite your players and put that game’s details in the match record. Ask each player to respond through the app.
Keep the existing chat available. A short explanation of why the change helps is more useful than sending an unexplained link. Do not imply that Futix automatically imports WhatsApp conversations or player responses.
Send a message people can act on

“Thursday football: 19:00 at our usual pitch. Please mark your availability in Futix by Tuesday evening: [match link]. We’ll keep the confirmed squad and lineups there. Use this chat for lifts and urgent updates.”
The deadline in this example is a group agreement. Make sure it leaves enough time for replacements and any venue cancellation decision.
Avoid running two competing lists
When someone replies “I’m in” in chat, ask them to update their match availability too. Otherwise the organiser still has to reconcile two records. Explain the rule kindly and apply it consistently.
Assign one organiser and a backup. Check unanswered invitations before the deadline, handle withdrawals promptly and share a final squad from the match record. Keep the useful parts of the chat without letting old messages become the plan.
Carry the same clarity onto the pitch
